What does a one-off database clean-up actually involve

Most small firms end up with the same problem. There’s a list on the office computer, another in the accounts package, a pile of business cards by the till, and a notebook in the van. None of them agree with each other. A clean-up pulls the lot into one place, strips out the people who turn up more than once, corrects the postcodes that stop post arriving, and marks anyone who’s asked not to hear from you. You end up with a single file, properly labelled, so you can write to the people worth writing to instead of paying to post to everybody. Starting from nothing is fine too; the list gets built from your invoices, your old enquiries, and whatever else you already hold. Either way it’s a job with an end date on it. You keep the file, and nobody bills you every month to look after it.

Can you work with the mess I’ve already got

Usually, yes. Spreadsheets, an old accounts export, handwritten cards, a folder of emails; send whatever you’ve got and you’ll get an honest answer on what can be saved and what can’t.

What do I get at the end

A clean file you own, in a format your email software and your printer can both read. Want it split by area, or by what people bought from you? Say so and it comes back that way.

Am I allowed to email everyone on it

Not always, and it’s worth knowing before you press send. Anyone who’s opted out gets flagged, and you’ll be told plainly if a list looks too old to trust.
